We are currently looking for a top-performer to join our team in the role of Receptionist.

What you will do.

The Reception position is focused on welcoming our guests, managing the facilities at our head office and providing administrative support to the office and Client Services teams. 

Responsibilities will include:

Reception & Administration:

  • Answering phones, directing calls and taking messages 
  • Managing the general reception email inbox
  • Manage incoming/outgoing mail and courier distribution 
  • Welcome guests and advise personal of their arrival
  • Prepare coffee and ensure kitchen space is clean and organized
  • Ensure entrance and common areas around the office are kept organized and professional
  • Maintain paper levels in photocopiers and printers
  • Maintain organized filing system
  • Book and manage meeting rooms

Client Services Administrative Support :

  • General administrative support to the Administrative Coordinator including: entering sales documents in progress reports, processing preliminary and final extras, distribution of drawings to vendors
  • Manage and process new home Tarion forms
  • Update spreadsheets
  • File quotes, inquiries and custom plans
  • Contract management and maintenance both in software and on network drives
  • Prepare closing packages
  • Process sales documents

Facilities Management:

  • Ensure head office is clean, neat and functioning at it’s best at all times
  • Manage facilities management costs to stay on budget
  • Respond to all inquiries regarding service maintenance with subcontractors and Fusion Homes personnel
  • Manage climate controls
  • Coordinate service related communications 
  • Manage off site document storage

Ideal qualifications

  • Fusion Person (positive, prideful, competitive, open/able to learn, driven to succeed)
  • Experience in a similar role
  • 5+ years relevant experience
  • Ability to work in a high-growth, past-paced environment
  • Strong organization skills
  • Focus on customer service
